Access-restricted production
Confidential documents are processed at our access-restricted scanning facility in Poway, San Diego County, with controlled entry to the production area.
From confidential business records and medical files to laboratory notebooks, legal documents, and blueprints, we build every scanning project around defined handling instructions and documented accountability.
Confidential records require care at every handoff. We establish how materials will be received, who is authorized to access them, how digital files will be delivered, and what happens to the originals when scanning is complete.
Pickup, shipment, indexing, delivery, return, and any requested destruction are discussed as part of the project scope. Originals are never destroyed without written authorization.
Our procedures reflect the way USA IMAGING, Inc. actually operates, without relying on vague security promises.

Mail scanning can follow written pickup, opening, scanning, delivery, and original-return instructions. Checks and other critical originals receive the specific return handling agreed for the account.
We can establish careful handling, image-order preservation, naming conventions, and non-destructive methods where suitable for the materials.
USA IMAGING, Inc. uses its dedicated Custody Desk application to centralize chain-of-custody documentation, material inventories, signed acknowledgments, and Non-Disclosure Agreements (NDAs) when required. This integrated process helps maintain consistent documentation and accountability from initial pickup or receipt through scanning, quality control, and final delivery.
These records support continuity from pickup or receipt through processing and delivery. Project documentation and tracking information can be made available to authorized clients through a secure, private login, with access restricted to their individual projects.

Digital delivery is not the end of the handling process. We confirm whether the original documents should be returned, retained for review, or prepared for separately authorized destruction.
We coordinate return or shipment of physical materials according to the agreed project instructions.
For applicable projects, customers have 30 days to review their digital files before deciding whether to authorize destruction of the originals.
Expiration of the review period is not consent. Written customer authorization is required before any destruction, which may be performed through a qualified subcontractor.
Project-specific retention, return, storage, and destruction terms are confirmed in the applicable agreement.
